Strong meetings don't start at the table — they start in the package. A look at what belongs in a board package and why it matters.
Every effective board meeting begins long before the chair calls it to order. The board package — the document set distributed in advance — is where governance is actually shaped. A well-built package gives directors the context they need to ask good questions; a thin or last-minute one forces them to react instead of govern.
At minimum, a board package should include the agenda, prior minutes for approval, the financial report, the executive director's report, and any decision items with clear motions drafted. Each decision item should answer three questions: what are we being asked to decide, why now, and what are the implications?
For Indigenous organizations, the package is also a place where cultural protocol can be honoured. Opening reflections, language acknowledgements, or community updates are not add-ons — they set the tone for how the board carries its responsibilities.
The discipline of preparing a strong package week after week is one of the most underrated administrative skills in the sector. It is, quite literally, the work that allows governance to happen.
