Policy Isn't Paperwork
Policies are how a board speaks when it isn't in the room. Treat them as living instruments, not binder filler.
A common pattern: an organization writes a policy manual once — often to satisfy a funder — and then never opens it again. Years later, no one on the current board or staff knows what's in it, and the document no longer reflects how the organization actually operates.
Policies are how a board governs in absentia. They tell staff how to act, tell members what to expect, and tell future boards what the organization has committed to. If they are out of date, the board is effectively silent on important questions.
A practical rhythm: review one or two policies at every board meeting on a rolling cycle, so the full manual is touched at least every two years. Confirm the policy still matches practice, update where it doesn't, and record the review in the minutes.
This is unglamorous work. It is also the work that holds an organization together when leadership changes, funders ask hard questions, or a community member raises a concern.
