Preparing for the AGM Without Losing Your Month
The annual general meeting is the one moment a year the board faces its members directly. Here's a calmer way to get there.
For many Indigenous organizations, the AGM is the most visible governance event of the year. It is also, too often, the most stressful — a scramble to pull together audited financials, an annual report, board nominations, and a venue all at once.
The fix is sequencing, not effort. Audited financials should be on the board's radar three months out, not three weeks. Nominations should be open early enough that members have real choice. The annual report should be drafted alongside the work it describes, not invented after the fact.
Procedurally, the AGM has its own discipline: confirmed membership lists, quorum tracked carefully, motions worded in advance, and a chair who knows the bylaws. Recording the meeting properly — including any elections and bylaw changes — is what makes its outcomes legally durable.
An AGM done well is one of the strongest signals of organizational health. It tells members the board takes its accountability to them seriously, and it gives the incoming board a clean starting point.
